IRS DEADLINES ARE:

  • January 31, 2018 - 1095 forms postmarked to employees/responsible individuals
  • February 28, 2018 - 1094/1095 forms due (postmarked) to IRS if filing by paper (employers with less than 250 forms are eligible to submit their information returns to the IRS via USPS first class mail)
  • April 2, 2018 - 1094/1095 forms due to IRS if filing electronically

BENEFITEXPRESS DEADLINES ARE:

  • November 27, 2017 - Add/Enable existing groups to ACAManager
  • January 5, 2018 - Final Authorization that all employee forms have been reviewed and are ready for fulfillment
    (If benefitexpress is not completing fulfillment, any and all changes must be made by January 19, 2018.)
  • January 31, 2018 - E-File payment received
  • February 28, 2018 - ACAManager locked; no further form edits allowed whether filing electronically or via USPS

 Mission 1: Company Demographic Information

  • Confirm ACAManager is updated with the correct company address and contact information
  • Ensure your company legal name and EIN are updated in ACAManager.
    • The IRS will reference the legal name that you entered on Form SS-4 when you applied for your Employer Identification Number.

 Mission 2: Employee Demographic Information

Confirm your employees reflect the most up-to-date:

  • Legal Name
  • Social Security Number
  • Address

 Mission 3: Benefit Plans

  • Have you made your benefit plan decisions for Open Enrollment?
    • Are the plans built in the benefitsCONNECT® system?
    • Have you "Refreshed Eligibility" in ACAManager and set those new plans to meeting MEC/MVS (where applicable)?

 Mission 4: Company Setup

 Mission 5: Employee Hours & Eligibility

  • Have you been uploading hours for your variable hour employees?
  • Confirm whether any employees changed from Part Time to Full Time status due to hours.
  • Verify that all employees who should be eligible for medical plans are showing as eligible in ACAManager*
  • Verify employee medical plan enrollments are reflected in ACAManager*

    *Tip: If they are NOT showing as eligible or enrolled, did you try refreshing eligibility?

 Mission 6: ACAManager Decisions

  • Will you be using ACAManager to generate your 1095 forms for your employees?
  • Ensure your company legal name and EIN are updated in ACAManager.

    • The IRS will reference the legal name that you entered on Form SS-4 when you applied for your Employer Identification Number.
  • The last day to decide whether you'll be utilizing ACAManager is October 15, 2017!

 Mission 7: Employee Consent for 1095 Electronic Delivery

Would you like to provide your employees with their 1095 forms electronically this year?
In order to provide your employees with electronic copies of their 1095 forms instead of paper forms, the IRS requires you collect employee consent first (similar to the consent for providing W-2 forms electronically).
